SCHEDULE & HOURS: The hours for the 2009 Convention and Hunter Expo are Friday 6:00 p.m. to 10:00 p.m., and Saturday 10:00 a.m. to 10:00 p.m. The schedule is approximately Friday 6:00 p.m. opening; 8:30 p.m. auction; 10:00 p.m. close; 10:00 p.m. to 1:00 a.m. wild game feed; Saturday 9:30 a.m. membership meeting; 10:00 a.m. open; seminars in morning and afternoon; 11:30 a.m. ladies champagne luncheon; 5:00 p.m. cocktail party; 6:30 p.m. banquet and awards; 8:00 p.m. auction; 10:00 p.m. close.
EXHIBIT SET UP & REMOVAL: Exhibitors may start setting up at 12:00 p.m. on Friday, January 16, 2009, and all exhibits must be set up prior to the start of the Convention at 6:00 p.m. Exhibits must be removed by 10:00 a.m. on Sunday, January 18, 2009.
FEES: The exhibitor fee is $300 advance payment for each 8x10 foot exhibitor space, which includes a skirted table and chair. If 4 or more spaces are reserved the fourth space will only be $100. Any exhibitor canceling after January 1, 2009 will be accessed a $150 cancellation fee per space. Electricity is available for $40 if requested in advance. A backboard rental fee of $15 will be assessed to exhibitors requiring a backboard. There are a very limited number of backboards available and you must reserve one in advance and not the day of Convention set-up.
EXHIBITOR BOOTHS: Each exhibitor must have their own exhibit space and exhibit spaces and booths cannot be shared. Exhibitors cannot have another person in their exhibit space who is soliciting business or distributing materials or information regarding services, activities or events which are not the immediate and direct business of the exhibitor. For example, an outfitter or professional hunter cannot be in the exhibit space of a taxidermist and solicit clients or distribute brochures. In such case both the outfitter and the taxidermist will be required to leave and the exhibit space will be forfeited. No person shall solicit business on the Convention premises unless they are an exhibitor.
DONATIONS: An appropriate donation of a hunting trip, fishing trip, sporting goods, art, or merchandise is required for auctioning at the 2009 Convention and Hunter Expo. Contact Nebraska Safari Club President, Corey Goss or Vice-President Cal Campbell with questions about appropriate donations.
HOTEL ACCOMMODATIONS: Exhibitors must arrange and pay for their own accommodations at the Embassy Suites. The Nebraska Safari Club will not provide hotel accommodations or room compensation for any exhibitors. Special room rates are available, but you must contact the Embassy Suites prior to January 1, 2009 and specify that you are with the Nebraska Safari Club Convention to receive the special room rates. SATURDAY NIGHT BANQUET: The exhibitor fee does not include tickets for the Saturday night banquet, which are $65 per person for exhibitors. Banquet seating will be limited, so pre-registration is strongly suggested. Do not be left out of enjoying the banquet with future clients and customers! You should include payment for banquet tickets with your exhibitor fee. Friday night game feed will have a much appreciated donation box at the door to the game feed. Please donate. Thank you.
